A quote is more useful when the workshop has enough information to understand the part, operations and delivery requirements. A clear package reduces follow-up and makes offers easier to compare.
Attach the right files
Provide a production file for each operation: DXF for cut contours, a dimensioned PDF for functional requirements and a 3D model when formed or assembled geometry is complex.
Label each file revision and remove obsolete versions from the current package. For photos or sketches, add key dimensions and viewing direction.
List materials and quantities
If considering several batch sizes, list the quantity for each option. This lets you compare unit cost and total budget without assuming prices scale linearly.
- Material grade or family, thickness and required format.
- Quantity per part number, with variants clearly separated.
- Requested operations: cutting, bending, rolling, welding, painting or another finish.
- Accessories, inserts, packaging and delivery if required.
Highlight requirements
Mark critical dimensions, required tolerances and visible faces. Describe mating parts, loads or environment when they affect material choice or manufacturing.
Avoid tight tolerances on every dimension without a functional need: they may require extra inspection or a different process. Discuss the dimensions that truly control fit.
Describe timing and delivery
Give the desired date, delivery location, access constraints and packaging requirements. If timing is flexible, provide a window so the workshop can consider scheduling options.
State whether prices should include transport and tax, and check how long the offer remains valid. This helps compare quotes fairly.
Review the quote before approval
- Check part numbers, revisions, materials and quantities line by line.
- Confirm which operations are included and which remain your responsibility.
- Check agreed tolerances, inspections, finish and packaging.
- Confirm price, taxes, transport, lead time and payment terms.
